Susan Davies Voice Studio Policies

The Susan Davies Voice Studio is committed to transparency and clarity in our policies and procedures. Please take a moment to peruse these policies to ensure that studying at SDVS is right for you.

Tuition, Payment, Fulfillment Policies

 

Payment Methods: The studio accepts credit card payments in US dollars through the Acuity Scheduling Service at the time of booking. Credit card payments are processed safely & securely through Stripe, and we accept Visa, American Express, Mastercard, Discover, and others. Students have the option to pay in full or to choose a monthly installment plan. If you are paying through an installment plan, your credit card will be set up for a monthly AutoPay. 

 

Payment Terms & Schedule: 

  • Discovery Package and Drop-In Lessons must be paid in full at the time of booking.

  • Punchcards may be paid in full at the time of booking or in an installment plan.

  • Songbird Tuition may be paid in full at the time of booking or in a 10-part installment plan. 

  • Pop-Up Voice Class students must pay in full at the time of booking.

How To Pay: For Songbird Tuition, Punchcards, and group classes, you will receive a link from susan@susandaviesvoice.com after your Discovery Call that will lead you through the registration & payment process via the Acuity Scheduling System. Returning students may log into their Student Account at www.susandaviesvoice.com and purchase lesson packages directly. Drop-In Lessons may be purchased directly through the website. Once payment is remitted, you will receive a receipt and scheduling confirmation email (including a lesson Zoom link) to the email you provided.

 

Refunds: The studio does not issue refunds.

 

Late/Missed Payments: If an invoice has not been paid by the date marked, no lessons will be offered until the balance due is paid.


Change of Circumstances/Studio Withdrawal: If your circumstances change (health, changing jobs, etc.), please contact Susan to discuss options for your tuition arrangement. In the unique instance where you must withdraw before your tuition is complete, please give a full 30-days’ notice in writing. Your tuition will be prorated, and you will have full access to all resources until the end of your monthly billing cycle. If, at any time, you are dissatisfied with services rendered, please reach out to Susan.

Studio Communication

 

Clear, consistent, and kind communication is key in the Susan Davies Voice Studio! The primary mode of communication for studio news, updates, offerings, and events is through email. Please make certain that susan@susandaviesvoice.com is on your “safe sender” list. 

 

I will reply to general inquiries within 48 hours whenever possible and between the hours of 10am-6pm Monday-Friday. In the event of a last-minute lesson cancellation, late arrival, or unforeseen circumstance before your lesson, you may text me at (978) 319-7905. 

 

Sometimes, it will be easier for us to connect via Zoom to have a more in-depth discussion. You may book a free Zoom Call using this link for questions regarding registration, billing, access needs, accommodations, etc. Please use your lesson time or email for questions regarding repertoire, recordings, resources, scheduling, audition timelines, etc.

All students taking a group class or package of lessons will receive access to a Google Drive folder. This is the hub of all resources, including audio recordings, videos, print resources, repertoire lists, etc. You may download these materials and use them to support your singing between classes.


Lesson Reminders: You will receive a lesson reminder from Acuity 24 hours before your scheduled lesson. You may choose whether to receive reminders via email, text message, or both when you register via Acuity.

Studio Schedule & Time Considerations

Studio Closure Dates are set before the beginning of our academic year, which runs September-June. Please see the attached calendar. Summer closures are set in late April.

 

Closures Due To Inclement Weather: As all lessons take place online, the studio will remain open, so long as we have electricity and internet. If the studio must fully close due to a power failure, we will notify students via telephone or text message.

 

Cancellations & Reschedules: The studio does not offer any rescheduled lessons and requires 24 hours’ notice for anyone on the Punchcard, Discovery Package, or Drop-In Lesson plans. However, Songbird and Punchcard students have several other wonderful options to choose from besides cancellation! These include:

 

  • [Songbird Tuition] 4 Flex Weeks, Non-Singing Lesson, Asynchronous Lesson

  • [4-month Punchcard] Non-Singing Lesson or Asynchronous Lesson with 24 hours’ notice

 

Alternatives to Cancellation: 

  • There are 4 Flex Weeks BUILT IN to your Songbird Tuition package. These Flex Weeks take place during the month of June and serve as make-up lessons built into your tuition. Life happens, and if you need to miss a lesson for any reason, you may choose to use a Flex Week in June. 

    • If you have no need to miss a lesson or if you always choose another type of Alternative to Cancellation, such as an Asynchronous Lesson, then congratulations! You may use the June Flex Weeks for a few extra “bonus” lessons. If a student misses more than 4 lessons throughout the course of their studio membership, they will not receive extra lessons.

    • Flex Weeks can be booked using the Certificate Codes from your Order Receipt (sent to your email) any time before the last week of June 2025.

  • You may request an Asynchronous Lesson, which includes a personalized video (10-15 minutes long). Students have the option to request specific topics to be addressed in the video.

  • You may take a Non-Singing Lesson during your regular lesson time. This is especially helpful if you’re experiencing a loss of voice but feel well enough to attend your lesson. Instead of singing, we can use your lesson time to:

    • Work on acting and character development

    • Practice musicianship skills, such as music theory, ear training, or foreign languages

    • Plan repertoire & strategize auditions

    • Review performances by you or other singers

    • Explore whole-body movement for the singer

    • Other strategic planning

 

TIP FOR STUDENTS PARTICIPATING IN SCHOOL THEATRICAL PRODUCTIONS: You will want to list your lesson time as a conflict when auditioning! Continuing your lessons is one of the best things you can do to support your school’s production. If you need us to speak to your show’s director, please let us know.

 

Group Classes: For specific policies & scheduling regarding group class cancellation & reschedules, please see the Group Class Policies document provided to you via email after your Discovery Call and the Terms & Conditions outlined at the time of booking in Acuity.

 

Studio Classes & Salons: The studio offers quarterly online Studio Classes and 2 hybrid Studio Salons (recitals) per calendar year. All students currently enrolled in a Songbird Tuition Package, Punchcard, Discovery Package, or group class at the time of a class or salon may participate. Relevant dates are tentatively set, shared, and updated on the Studio Calendar.

 

Teacher Cancellation: In the unlikely event that the teacher needs to cancel 1:1 lessons, she reserves the right to offer the student one of the Alternatives To Cancellation options.

 

Permanent Rescheduling: Although we support your participation in shows and other activities like sports, we ask that Songbird students honor their commitment to their vocal studies by making their lessons a priority. If a Songbird student’s schedule changes due to the addition of show rehearsals or sports practices, we will allow 1-2 permanent lesson time changes per year, provided that a suitable time slot is available.

 

Extra Lessons: If Songbird or Punchcard students want to book more lessons than the number offered in their package, they are welcome to buy more! SDVS students receive a 40% discount off the current drop-in lesson price.


Recordings: Audio and video recordings will be created and uploaded periodically into your individual Google Drive folder. Please allow a one-week turnaround period from the time I receive your sheet music for all melody recordings and 1-2 recordings within a week’s time. Some songs are more complex than others and will require a longer period of time to practice & record. I will communicate with you via email or in your lesson if a song recording will take longer than one week to reach you.

Booking Lessons

SDVS uses the Acuity Scheduling System, which sends lesson confirmations and reminders to both the student and teacher. 

 

Songbird Tuition: The teacher will schedule all 30 lessons for Songbird students into the online system, based on the agreed-upon lesson time determined via email. Students will be responsible for scheduling their own Flex Weeks. Flex Weeks can be booked using the Certificate Codes from your Order Receipt (sent to your email) any time before the last week of June 2025.

 

Punchcard: Due to the flexible nature of the Punchcard, students are responsible for selecting and booking their own lessons from the online calendar. Punchcard lessons can be booked using the Certificate Codes from your Order Receipt (sent to your email). Students may book lessons all at once or individually over the course of the 4 months. Please schedule all lessons within a 4-month period from the date of purchase.

Special Considerations

 

Use of recordings: All recordings made by Susan Davies and shared with you via email or in your Google Drive folder are the personal property of Susan Davies. Please use them only for your personal use. Do not sell or share these recordings or post them on social media.


What if I don’t get all my lessons? If you are concerned with the thought that you may be charged for services not rendered, please be assured that your tuition is always working for you. We spend a great deal of time outside of lessons planning, choosing repertoire, creating & updating individualized resources, and participating in online and in-person professional development. We kindly remind all students and families that between teaching, planning, and audition prepping, we guarantee that all students receive more of our professional time than you actually pay for.
